2019 CAP Congress Pre-Registration Tips

Make your registration process smooth, take advantage of early discounts and avoid delays by paying attention to the followings tips and information before you registering:


Renewing/signing up for CAP membership

You must have a valid CAP membership at the time of registering for Congress in order to qualify for CAP Member and Affiliate rates, and to compete in the Best Student Presentation Competition.

Please note it can take up to two business days in total to validate a CAP membership/affiliateship application. Therefore new and renewing membership applications must be received by the CAP Office no later than 11:59 pm EDT Wednesday, May 1st in order to be processed in time for you to benefit from early registration rates for members.

Undergraduate student affiliates pay a significantly discounted registration fee.  As it is free for undergraduate students to join the CAP, we do NOT offer a registration rate for non-affiliate undergraduates.  Sign up now if you plan to attend and are not already an affiliate!

Early Registration Discounts

There are significant savings for CAP members and delegates who register before 11:59 pm EDT Sunday, May 5th. Please see renewing/signing up for CAP membership for important information deadlines about ensuring your CAP membership is up-to-date before registering for Congress.

High school teachers wishing to participate in more Congress events than the High School Teachers Workshop are welcome to do so.  The registration rates for high school teachers are the same for either one-day registration or multi-day/full conference registration.

Registration Payments

Credit cards are the ONLY mode of payment accepted for all Congress registrations.  Delegates whose registrations are going to be paid by someone else can submit their registration using the “Invoice Requested” option.  They will then be sent a link from the CAP office for credit card payment of their registration fees. NOTE:  Payment must be submitted within 48 hours of receiving the link, otherwise registration fees applicable at the time of payment will apply.  This is of particular importance for registrations which are submitted just before rates are scheduled to increase.

Accommodations – Book NOW!

Special CAP Congress accommodation rates for CAP Congress attendees at various OFF-CAMPUS locations near Simon Fraser University are available until April 17, 2019.  The ON-CAMPUS special rates and room blocks will be available until May 1, 2019.  After these dates, availability cannot be guaranteed and guests will be subject to regular season rates. Please contact SFU Residences and the hotels directly to arrange bookings.

As accommodations can always be released if not needed, we recommend that you book accommodations now to ensure that you secure a room at a reasonable rate.

Confirming the status of your abstract submission

 We encourage you to consult the abstract system before you register to see which oral or poster session you have been assigned to present in.  Log in to the CAP’s Congress Indico site at http://indico.cern.ch/e/CAP2019 and look for the “My Contributions” link under “My Conference” in the left menu.

Consulting the program schedule

The Program Committee has reviewed and assigned all abstracts received by March 30th.  Please consult the Timetable at http://indico.cern.ch/e/CAP2019 for details.

Symposia Day, Tuesday June 4

Anyone who wants to attend the June 4th Symposia Day sessions can register by using the CAP’s Congress registration system.  The registration fee for these one-day sessions is $150 for students and $175 for delegates only attending Tuesday.  Anyone registering for the full CAP Congress can register for Tuesday symposia by selecting the symposium you want to attend under the Tuesday options when completing their registration.

Graduate Student/Post-Doc Events

– Physics Careers Workshop, Professional Development Panel, and Special Non-Academic Sessions/Activities

There will be a MITACS Workshop on Networking on Sunday June 2nd from 3-6 pm, to provide critical career skills for graduate students and post-docs who intend to enter the job market. Participation is limited.  To register, choose the Sunday workshop when registering for Congress ($5 fee charged to cover the cost of the coffee break).

Other non-academic activities being held during this year’s Congress, and open to any interested Congress delegate, include an entire day’s symposium (Tuesday, June 4) that will be dedicated to talks from physicists from industry and applied physics.  There will be a lunch-hour panel discussion on professional development for physics careers (lunch can be pre-ordered during registration), followed by a session explaining why/how you should obtain your professional certification (P.Phys.).  The day’s activities conclude with a Tuesday evening opportunity for networking with industry professionals at a Meet and Mingle (refreshments served).

Eduroam Wi-Fi Network

Those delegates affiliated with an institution subscribed to Eduroam will be able to connect to SFU’s Wi-Fi network immediately upon arrival. Delegates without an Eduroam account will be find Wi-Fi instructions with their registration package. During registration, you will be asked to indicate whether you have an Eduroam account.

NOTE:  Your home institution is responsible for ensuring your e-mail is recognized by the system. Therefore you must make sure you can access Eduroam BEFORE you leave your home institution.  Failure to do so may result in delays in getting you connected to the Wi-Fi network at Simon Fraser University.

The CAP Medallist Award Dinner

The dinner is a chance to honour this year’s recipients who have demonstrated excellence in research, teaching and service in physics within Canada. Prof. Donna Strickland will give a presentation about her experiences during the Nobel Prize week in Sweden.

Proposed Lab Tours
